Personal Assistant/Studio Manager - temp
About this role
Award-winning design studio based in south London, servicing interior design, graphic design and branding, requires a personal assistant/studio manager to join its passionate team of creatives. Key Responsibilities
• Organising and booking travel (cabs, flights, accommodation etc).• Answering phone and transferring calls/passing messages.• Distributing incoming mail, arranging outbound post, packages and couriers.• Responding to phone and email queries and forwarding to colleagues as required.• Manage the office diary for client meetings, team reviews and key team member calendars etc.• Organising events (client entertainment events and office events such as Christmas Party, team birthday celebrations).• Submitting and coordinating IT support calls/tickets on behalf of the wider team.• Recording sickness and absence.• Managing and recording holiday requests.• Monitoring time sheets.• Taking and typing up minutes in company or client meetings.• Working in Xero (accounting and bookkeeping software) to raise sales invoices, create quotes and conduct bank reconciliation.• Working in Receipt Bank (digital receipt system) to monitor, manage and record all company expenses.• Collating any financial paperwork for handover to the bookkeeper.• Monitoring and ordering stationery, office and kitchen supplies.• Maintaining a high standard of cleanliness and tidiness in the office.• Managing and maintaining the photocopier (submitting readings, calling on tech support and ordering cartridges).• Regular update of our 'What’s New' wall with interesting concepts opening around the globe.• Managing social media channels and actively generating new and interesting content• Copy-writing and compiling press releases, award entries and website updates.
Skills and Experience
• Exceptionally good organisational skills.• Expert knowledge of MS Office and calendar management.• Experience in customer service and office administration.• Friendly and persuasive with a charming telephone manner.• Good knowledge of online accounting/bookkeeping software.• Good knowledge of expense management.• Experience of business accounting and finance, raising and chasing invoices.• High standard of written English.• Apple Mac experience.• Process-driven with good attention to detail.• Up-beat, can-do attitude.• Flexible and proactive.• A high level of discretion.• Logical and grounded with good use of common sense.• Design studio experience and a passion for creativity would be a bonus.
