Accounts Payable Specialist

About this role

Key Responsibilities: 

  • General payables
    • Receive and code trade/vendor invoices
    • Obtain required approvals of costs and coding, before input into Vision
    • Verify monthly invoice(s) are received for required payments (rent, utilities, insurance, etc.)
    • Assist Controller with weekly check runs and ACH disbursements
    • Maintain payable files in good order, making sure all invoices are electronically attached and properly filed
    • Reconcile vendor statements monthly 
    • 1099 maintenance and processing. Ensure complete W-9 information is obtained prior to paying any invoices
  • Employee Payables
    • Review employee expense reports in Vision to ensure requisite backup documentation is attached and accurate expense accounts are used
    • Process weekly expense payments on Monday to give to Payroll from processing. 
  • Consultant Payables
    • Ensure invoices are coded to proper project numbers/phases and general ledger code 
    • Obtain PM approvals on consultant invoices
    • Reconcile consultant statements monthly 
    • Maintain payment status reports to assist Controller with cash flow projections 
  • Budget and Fixed Asset Management
    • Maintain schedule of leases and contracts in budgeting system
    • Assist with explaining monthly variances and providing historical analysis of expenses
    • Update and maintain schedule in Fixed Asset system 
  • Other Accounting Tasks
    • Provide support for other related accounting functions (i.e., cash application, payroll, corporate expense reports)
    • Month-end and year-end reporting research


  • Minimum of 3 years of Accounts Payable experience in an A/E environment
  • Experience with Deltek Vision preferred
  • Strong communication skills required
  • Proficient in MS Excel and Word
  • Bachelor's degree in Business Administration or related field preferred
