About this role

A top design firm is seeking a highly organized, hardworking and self-motivated Office Administrator to perform administrative duties as well as some business development and marketing duties necessary to the growth and efficiency of the organization. A successful candidate for this position values being a member of a team possesses excellent client-facing communication skills and is resourceful, organized, and a good problem solver. 

Duties- General Office Support: 

  • Provide front desk coverage, including greeting and directing clients and vendors upon arrival, answering and directing calls, email correspondence, managing mailing, and deliveries, and maintaining an organized, clean office environment 
  • Provide direct administrative support such as booking travel, scheduling appointments, meetings, and events 
  • Maintain filing systems and databases 
  • Manage office supply inventories and equipment 
  • Retrieve documents and files when requested 
  • Light accounting duties such as invoicing 
  • Create, edit, and update documents, reports, spreadsheets, contracts, proposals, and templates 
  • Oversee materials library and work with vendors to obtain updates and duplicates as needed 

Duties- Business Development and Marketing: 

  • Assist with proposals 
  • Identify and follow-up on leads and opportunities 
  • Social media and online presence: manage channels to maximize portfolio exposure to the industry, peers, and staff and ensure the website is current and up-to-date 
  • Write/compile RFPs, RFQs, press releases, case studies, award submissions and manage internal marketing documentation and image library 


  • 1+ years Office Administration (Required) 
  • 1+ years Architectural or related design 1 year (Preferred)
  • Bachelor’s degree or equivalent 
  • Strong time-management and people skills, flexibility, and multitasking ability 
  • Superb written and verbal communication skills
  • Advanced computer skills and experience with online platforms 
  • Proficient in Microsoft Office, with an aptitude to learn new software and systems
  • Experience developing internal systems 
  • Discretion handling confidential information
